Smena collects and processes only the minimum amount of personal data required for the App to function properly.

We do not track your location continuously, we do not store camera images, and we do not monitor your activity within the App beyond the essential actions required for time-tracking.

2. Data We Collect and How We Use It

2.1. Shift Tracking Data

We only collect data necessary to record your working hours. Data storage occurs exclusively when you take a specific action such as:

  • Clocking in
  • Clocking out

When these actions occur, we store:

  • The timestamp of the action
  • Your user identifier
  • Shift status information (e.g., start/end of a shift)

This data is used strictly for:

  • Generating accurate work logs
  • Attendance tracking
  • Payroll and schedule management
  • Compliance with employer HR processes

We do not track your activity or usage behavior outside these functions.

2.2. Location Verification (No Location Storage)

Smena may request access to your location only at the moment of clock-in or clock-out to verify that you are at your assigned workplace.

  • Your location is not stored, not logged, and not used for tracking.
  • The location check is processed instantly and disappears immediately after verification.

2.3. Camera Access (No Image Storage)

If a feature requires camera use—for example, scanning a QR code—we may request permission to access your device’s camera.

  • We do not collect, store, or transmit images or video.
  • The camera is used only for real-time functionality and no image data is saved.

2.4. No Behavioral Tracking or Analytics

We do not track:

  • How you navigate the app
  • Your usage patterns
  • Background activity
  • Any other behavior unrelated to shift logging

We do not use third-party analytics tools for tracking individual behavior.

2.5. Technical Data (Minimal Use)

To ensure secure and reliable operation of the App, the following technical information may be automatically collected:

  • Device type and operating system
  • App version
  • Error logs or crash diagnostics

This information is used solely to maintain and improve App performance and does not identify you personally.

3. Legal Basis for Processing (GDPR)

We process your data based on the following lawful bases:

  • Performance of a Contract: To record your working hours and provide the shift-tracking services your employer uses.
  • Legitimate Interests: To ensure security, prevent misuse, and maintain system integrity.
  • Consent: When you voluntarily grant permissions such as location or camera access.

You may withdraw consent for optional features (e.g., camera, location) at any time from your device settings.

4. Data Retention

We retain shift-related data only for as long as required to fulfill:

  • Internal HR processes
  • Legal or contractual obligations
  • Employer reporting requirements

All data is deleted or anonymized once it is no longer needed for these purposes.

We do not retain any data related to location or camera use.

5. Data Sharing

We do not sell, rent, or trade your personal data. Data may be shared only with:

  • Your employer or authorized HR personnel, for legitimate shift-tracking and payroll purposes
  • Service providers who operate servers or technical infrastructure, under strict confidentiality agreements
  • Authorities, only if legally required

All data sharing is strictly limited and controlled.

Under applicable data protection laws, you have the right to:

  • Access your personal data
  • Request deletion of your data (right to be forgotten)
